Stock

The Stock group of the menu holds what your company has on the shelf, between what it buys and what it sells: a level per item, the log of what moved, a threshold that warns you, and the stocktake that resets the counter to what you have counted.

Stock belongs to the company, not to the account. Two companies on the same account selling the same reference therefore each keep their own, under a single item record: the goods were paid for by a legal entity and sit on its balance sheet.

The state of your stock

Open Stock, État du stock (Stock, Stock level). The screen lists the products in your catalogue, each with its reference, its label, its unit, the quantity on the shelf and the date it last moved.

Two markers read at a glance:

  • an item that has fallen below its threshold is flagged, with the threshold shown next to the quantity;
  • an item sold before it came in shows its quantity as negative, exactly as it stands: the goods leave in the morning and the delivery note is entered in the evening.

Stock follows the items whose Nature (nature) is Produit (product). An item of nature Service is invoiced with no goods to count, so your catalogue is often longer than this list.

An item record

Click a line to open its record. You will find the current quantity, the threshold, the movement log and the three gestures that move stock by hand.

The movement log

Each line carries its date, its nature, the change, the level reached after it, the document behind it where there is one, and the person who posted it.

A movement stays as it was posted. A keying error is corrected by an opposite movement, and both stay readable side by side: the level says how many are left, the log says why.

Posting goods in or out

In the Entrée ou sortie (Goods in or out) box: Nature (nature), Quantité (quantity), and Note for your own marker. The quantity is always entered as a positive number, and the nature gives the direction.

Taking stock

In Compté en rayon (Counted on the shelf), enter what you actually counted. The gap with the recorded level writes itself, as a movement of nature Inventaire: you count boxes, the subtraction is done for you, against the value of the moment.

Setting the alert threshold

Prévenir sous (Warn below) sets the quantity at which the item is flagged on the stock screen. Leave the field empty to stop being warned about this item.

What happens when you invoice

The decrement is automatic and lives inside the issue: the moment an invoice takes its number, every line carrying an item of nature Produit takes the invoiced quantity out of the company's stock. The credit note that takes the goods back puts them in again.

The level is locked for the length of the gesture, so two invoices issued at the same time on the same reference wait for one another and both issues are counted.

Stock reads below zero, which lets you invoice goods whose delivery note has not been entered yet. The item is then flagged on the stock screen, and the receipt brings it back the right way up.
